1. How do we log into the new copier?

Answer:  Use your w###### employee number (without the “w”) and your w###### employee number without the last digit for your pin.  For instance, if my w number was w123456, I would log in with 123456 and my pin would be 12345.   

2. How do we scan documents?

Answer:  Once you log in, use the Scan/Send button and select your email address (already loaded in the machine) to receive your document in your email.  BOOM!  How do ya like THAT?  Easy Peezy!


3. 2-Sided Scanning (super fast)

This Copier will scan both front and back at the same time (super-fast).  However, to select this option there is a box at the lower right that says [2-Sided Original].  If this option is highlighted in yellow, 2-Sided Original is selected, if not, it defaults to single sided.  If it is on and you want it off, touch it and touch “Cancel.”  If it is off and you want it on, touch it and select the method of flip you want to use.

4. Collating

When making several copies of a multipage document, select Collate not Group. Stapling is optional.

5. Email from the Copier

It’s very easy to email from the copier.  Login, [ Scan and Send ], select an address from the address book, or put in a new one.  The recipient will get at email with an attachment (default is PDF) from USM-IDS-no-replyFREEMississippi.

6. The cost of color

Please keep in mind that printing in Color is 8 Times more expensive than printing in Black/White therefore, when I loaded the software on your computer, it was defaulted to B/W.  You can change it to color for each print job but “wemembwer, big bwoder is watching.” Case in point, our cost of printing color copies in May 2015 was over $440. Please be careful.

7. Incoming fax to email capability

  • Our new machine is capable of forwarding faxes to specific email addresses based on the fax number of the originator. 
  • For instance, all faxes coming from the car rental facilities will not be printed but will go directly to Laura via email.  In addition, the text on these forwarded faxes will be searchable—meaning, once the document is opened in a PDF viewer, you can search the document for specific text. 
  • All FAXes coming from numbers that have not been registered (via Rich) will be printed on the copier.  They can be found printed under the scanning unit (easily overlooked.)

So, what should you do?  If you want FAXes that regularly come from a specific FAX number to show up immediately in your email, please email Rich with the FAX numbers.

8. Special Paper

  • I you need to print a photo on photo paper, make sure to use “Laser Photo Paper.”
  • If you need to print labels, make sure to use “Laser Labels.”
